The OpportunityThis is a unique opportunity to work directly alongside the Executive Director in a broad and dynamic role that touches every part of the organization.
We're looking for someone who loves bringing order to complexity, keeping projects moving and making sure nothing falls through the cracks.
One day you might be coordinating international meetings between colleagues in Houston, India, Singapore and London. The next, you could be organizing donor travel, preparing board meeting materials, helping deliver a fundraising event or ensuring every detail is ready for an important donor meeting.
You'll become the person who keeps Magic Bus USA running smoothly so the Executive Director can focus on fundraising, partnerships and growing the organization.
Key Responsibilities
Executive Coordination
Provide day-to-day operational support to the Executive Director, including:
Coordinating calendars and meetings
Booking domestic and international travel
Arranging hotels, transportation and restaurants
Preparing itineraries
Coordinating donor meetings
Supporting board meetings
Preparing meeting agendas and briefing materials
Tracking follow-up actions and commitments
Managing confidential administrative matter
Project Management
Coordinate multiple organizational projects simultaneously by:
Developing project plans and timelines
Monitoring deadlines and milestones
Following up with colleagues and external partners
Maintaining project documentation
Identifying potential issues before they become problems
Ensuring commitments are delivered on time
Events & Donor ExperienceCoordinate the operational delivery of Magic Bus USA events, including:
Donor salonsCultivation events
Board meetings
Donor appreciation events
Corporate events
Annual fundraising galas
Community engagement activities
For major fundraising galas, you'll work alongside professional event management companies, serving as Magic Bus USA's internal project coordinator and ensuring all internal planning, communications and logistics are delivered successfully.

Help ensure the smooth day-to-day operation of Magic Bus USA by supporting:
Office administration

Organizational systems and processes
Development Operations
Support fundraising and donor stewardship by:
Maintaining accurate donor and event records
Assisting with Salesforce updates
Tracking sponsorship commitments
Coordinating donor acknowledgements
Supporting fundraising campaigns
Helping prepare board and donor reports
Assisting with grant and proposal administration as needed
International Coordination
Coordinate projects and communications with colleagues across the Magic Bus network, including teams in:
India
Singapore
United Kingdom

We are entering an exciting period of growth and are looking for a talented, creative and entrepreneurial marketing professional to help us tell our story, strengthen our brand and grow our community of supporters.
The Opportunity
This is not a traditional marketing role.
We are looking for someone who can combine strong writing, thoughtful design and digital storytelling. Someone who is equally comfortable creating a LinkedIn post, designing an event invitation, producing an email campaign, updating a website or editing a short video.
You will take ownership of the Magic Bus USA digital presence and help shape how donors, corporate partners, volunteers and the wider public experience our organization.
You will also be responsible for developing the marketing and communications materials used across our fundraising events, salons, galas, awareness campaigns and donor appreciation activities.
This is an opportunity for someone who enjoys variety, takes initiative and wants to use their creative skills in service of a meaningful mission.
Key Responsibilities
Brand and Communications
Serve as a steward of the Magic Bus USA brand across all platforms and communications.
Develop and manage an annual communications and content calendar aligned with organizational priorities, fundraising campaigns and events.
Write clear, engaging and compelling content for donors, partners, volunteers and supporters.
Maintain a consistent voice, visual identity and standard of quality across all public-facing materials.
Work closely with the Executive Director and colleagues in the United States and India to communicate the organization’s mission, impact and ambitions.
Website Management
Take ownership of the Magic Bus USA website.
Keep website content accurate, current and engaging.
Create and update campaign pages, event information, impact stories and donor content.
Work with external technical support when more complex website development is required.
Monitor website performance and identify opportunities to improve traffic, engagement and donations.
Social Media and Digital Content
Manage the Magic Bus USA presence on LinkedIn, Instagram, Facebook and YouTube.
Create and publish platform-specific content, including graphics, written posts, short videos and event highlights.
Develop content that celebrates donors, corporate partners, volunteers, marathon runners and other supporters.
Build engagement with existing audiences while introducing Magic Bus USA to new communities.
Monitor comments, messages and audience engagement across all channels.
Track performance and use data to improve content and audience growth.
Email Marketing
Write, design and distribute email marketing campaigns and EDMs.
Produce donor newsletters, event invitations, fundraising appeals, impact updates and appreciation communications.
Manage email templates and support the growth and segmentation of the Magic Bus USA mailing list.
Monitor open rates, click-through rates and campaign performance.
Creative Design
Design digital and printed marketing materials for Magic Bus USA.
Produce social media graphics, presentations, brochures, sponsorship materials and fundraising collateral.
Create invitations, programs, banners, signage, menus, name cards and other event materials.
Prepare files for professional printing and coordinate with printers and external suppliers when required.
Ensure that all materials adhere to Magic Bus brand standards.
Events
Lead the development of marketing and communications materials for Magic Bus USA events, including:
Fundraising galas
Salons and intimate gatherings
Awareness events
Donor appreciation events
Corporate partnership events
Marathon and peer-to-peer fundraising campaigns
Community and volunteer activities
The role may also involve attending selected events to capture content, coordinate event branding and support communications in real time.
Video and Impact Storytelling
Produce and edit short-form videos for social media and digital campaigns.
Create event highlight videos, interviews and impact stories.
Manage and grow the Magic Bus USA YouTube channel.
Work with colleagues in India to gather photographs, testimonials, program updates, data and video content.
Translate complex program information into accessible and emotionally compelling stories for U.S. audiences.
Media and Public Relations
Draft press releases, media notes and organizational announcements.
Identify appropriate opportunities for media coverage and public visibility.
Help maintain relationships with photographers, videographers and other creative partners.
Build and manage an organized library of photographs, videos, logos, templates and marketing assets.
Analytics and Reporting
Monitor website, social media and email performance.
Establish practical metrics for audience growth, engagement and campaign effectiveness.
Prepare regular reports and recommendations for senior leadership.
Use performance data to continually improve communications and marketing activity.
Who You Are
You are a creative and capable communicator who enjoys turning ideas into polished, engaging work.
You have strong judgment, excellent attention to detail and the ability to manage several projects at the same time. You are comfortable working independently, but also enjoy collaborating closely with colleagues and external partners.
You are not someone who waits for every instruction. You take ownership, identify opportunities and move projects forward.
Qualifications and Experience
We expect the successful candidate to have:
Approximately three to five years of experience in marketing, communications, design, content creation or a related field.
Exceptional writing, editing and proofreading skills.
Strong graphic design skills and a well-developed visual eye.
Experience managing organizational social media channels.
Experience creating email campaigns and digital communications.
Experience updating and managing websites through WordPress or a similar content management system.
Proficiency with Canva and/or Adobe Creative Suite.
Basic video production and editing skills.
Strong organizational and project management abilities.
The ability to manage multiple deadlines and deliver work to a high standard.
A portfolio demonstrating relevant writing, design and digital communications experience.
Experience in the nonprofit or social-impact sector is welcome but not required. We care more about talent, judgment, initiative and the quality of your work.
Location and Working Arrangement
Our preference is for a candidate based in Houston who can work regularly from the Magic Bus USA office and collaborate closely with the Executive Director.
The role may be structured as hybrid, combining office-based and remote work.
We will also consider outstanding remote candidates located elsewhere in the United States. Remote candidates must be available to work across U.S. time zones and may occasionally be required to travel for major events or meetings.
